Who can request a report

PDF reports are an entitled Viewer export. You must be able to access the project, have Viewers access for its client, and have the client’s PDF Export feature and your own PDF Export access enabled. Trial viewer accounts cannot export viewer data. These checks apply even when you can open the structure or see screenshots. If the row does not show Download Report, or the global action is unavailable, ask the client or project administrator to verify the project and export entitlement rather than retrying a direct link.

Reports are created from the structure’s current eligible record and evidence. Before requesting one, use the Viewers filters to select the correct client, project, phase, or other intended scope and confirm the facility/file row. The report action is a delivery request, not a substitute for reviewing the source viewer.

Viewer data-share access does not grant PDF report export. Request the report from the source project team if you are reviewing through a shared-data context.

Request one report

  1. Open Viewers and locate the intended structure row.
  2. Select Manage on that row, then Download Report in the Viewer Actions drawer. Review the structure identity in the request dialog before starting the request.
  3. Wait for the report request to complete. The report service creates the PDF asynchronously, so a request being accepted does not mean the file is ready immediately.
  4. Download the result only when the request reports ready. Open the downloaded PDF and check its structure identification and the evidence expected for the delivery.

If the request fails, retain the reported error and confirm the project/export permissions, current structure data, and filtered identity before requesting again. A report that contains unexpected or stale information should be corrected at its viewer/source record, then requested again; downloading a second copy does not refresh the underlying content by itself.

Request a filtered batch

  1. Set the Viewers filters to the exact client, project, phase, and viewer subset that should be delivered. Recheck the visible rows because batch scope is based on the active filter state.
  2. Open Batch Actions and select Download Reports. The request creates a ZIP package for eligible structures within that scope.
  3. Monitor the batch request until it is ready, then download the ZIP and inspect a representative PDF before distributing it.

A batch request does not bypass export permissions. The portal evaluates eligible projects in the selected scope and cannot create reports for a project where your export access is absent. Keep the scope narrow enough to review; if a needed structure is missing, confirm its project and filter assignment rather than assuming the batch included it. The ready download is a time-limited delivery artifact, so download it promptly and retain it through the project’s approved handoff process.
